Day one that
runs itself.
Task templates sequenced from the joining date, and documents collected before the joiner has a login, through a link that needs no account. On the way out, an exit clearance stands between the leaver and their final settlement.

The day-one scramble
Onboarding fails on coordination, not on effort.
Nobody is careless about a new joiner. The problem is that four teams each hold one part of the sequence, and none of them can see the other three.
The plan is a group chat
IT, HR and the manager each remember a different part of it. The laptop arrives in week two and the joiner spends day one reading the handbook twice.
The checklist is a document
It works for one joiner. With eleven starting the same Monday, nobody can say at a glance which three are missing a bank proof.
Offboarding is improvised
The laptop is not returned, finance finds the unpaid advance after the money has gone out, and full and final is reconstructed from memory.
How a plan is built
Tasks with an owner, an offset and a state.
A template is a list of tasks, each one an offset from the joining date rather than a fixed calendar entry. Attach it to a hire and the dates resolve themselves — including the ones that fall before the person starts.
Sequenced from the joining date
IT provisions on day minus three. The manager runs the first one-to-one on day one. HR closes the probation paperwork in week two. Move the joining date and every task moves with it.
A template per kind of hire
An engineer and a field sales hire do not need the same fourteen tasks. Each department can have its own template, with a workspace default behind it, and owners of HR, IT, the manager, the joiner or a named person.
Documents before there is a login
HR sends one signed link. It lists the outstanding document tasks, takes one file against each, and expires after 14 days. Files are checked by their content rather than their extension and stored per tenant.
Asset handover on the register
The laptop given out on day one is an assignment on the asset register, with a serial number. Anything still assigned on the way out appears on the exit clearance by itself.
Sign-offs on the shared approvals engine
When the tasks are done, the process goes for approval on the same Request → Approver → Decision → Action chain as leave and expenses. One place to configure who signs what.
Progress all three can see
The joiner, the manager and HR look at the same completion state. An overdue task is visible before day one rather than discovered on it.
A plan, resolved
Negative days are the point.
Most of what makes a good first day happens before it. Counting backwards from the joining date is what turns a checklist into a schedule: the provisioning task, the document request and the laptop handover all have a date that is already in the past by the time the joiner walks in.

Offboarding
Nobody is settled until every desk has signed.
An exit opens a clearance: one checklist per leaver, generated from the org rather than configured, so a workspace that has never thought about it still gets a usable list the first time somebody leaves. The final settlement will not approve while a mandatory item is open.
- An item per department, and one for assetsEvery active department gets a sign-off. If the leaver still holds anything on the asset register, a mandatory return item is added with the count.
- Clear it, or block it with an amountBlocking is a decision in its own right: someone looked, and something is still owed. The recovery amount lands on the settlement as a deduction.
- Why they left, in four shapesResigned, let go, contract ended or retired, and separately whether the exit was regrettable and whether they are eligible for rehire. Either can be left unanswered rather than guessed.
